Document, Data and Systems Integration
This service covers three related areas: document and invoice automation with OCR, data processing automation, and API integration to connect your systems. On many projects, we use all three together.
1. Document and invoice automation (OCR)
OCR (optical character recognition) allows a computer to read and understand text from PDF invoices, contracts, and other documents — without manual data entry.
Typical solutions:
- Automatic scanning and posting of inbound invoices to accounting systems
- Contract data extraction and archiving
- Reading and validation of CMR consignment notes, delivery notes, and other transport documents
- Document classification by type or status
Example from our practice: an accounting team received client transaction data in Excel and re-typed it into the tax portal by hand. Now a robot picks up each new task from the team's board (ClickUp), downloads and reads the Excel file, and files the client's VAT return automatically — the accountant only confirms the result.
2. Data processing automation
Where data flows are large or require regular cleaning, transformation, or transfer, automation replaces manual Excel operations and copy-paste work.
Typical solutions:
- Automatic data import from external sources (email, FTP, API)
- Data cleaning and transformation against defined rules
- Generating and sending periodic reports
- Data validation and quality control
- Market and competitor price monitoring (web scraping)
Example from our practice: for an e-commerce seller we built a price-monitoring scraper — it visits the relevant online stores, collects the lowest prices for the tracked products, and delivers a ready comparison, so pricing decisions are based on the current market rather than guesswork.
3. Systems API integration
API integrations allow different systems to exchange data automatically — without a person in the middle. This is the foundational solution when you have more than one system that needs to know what the others are doing.
Depending on the case, we build integrations in code or with workflow tools such as n8n or Make — which connect popular systems and AI services faster and at lower cost.
